From order to financial report

E-Commerce Accounting and Tax Processes

Manage marketplace, online-store and overseas sales together with e-document, VAT, returns, commission, settlement and recurring reporting processes.

The net amount reaching the bank is often not e-commerce revenue. Order value, VAT, marketplace commissions, delivery, advertising, returns and payment-provider charges may appear on different dates and reports. Reliable accounting connects these records at order and invoice level.

Our specialist team works in person in Sivas and digitally with e-commerce businesses throughout Turkey. Our aim is not only to file returns, but to turn platform and store data into financial information that shows channel-level profitability. References to platforms such as Trendyol, Hepsiburada, Amazon or Shopify describe common sales channels and do not imply a partnership.

Business structure for an e-commerce operation

The choice between a sole proprietorship, limited company and joint stock company should reflect products, expected profit, ownership, consumer obligations, inventory and financing. The owner of the marketplace account, brand and domain rights, and payment-provider contracts should match the legal setup.

A suitable activity code, sales model and fulfilment arrangement support consistent tax and e-document processes. Future investment, partners, personal exposure and the way founders will draw funds are relevant alongside formation cost.

Recording marketplace and online-store sales

Every channel may produce different order, invoice, settlement and payment reports. Records should explain gross sales, cancellations, returns, discounts, vouchers, platform contributions and collections separately. Posting only the net bank payment can hide both revenue and costs.

At month end, invoice totals are reconciled with orders, payment providers, bank receipts and inventory movement. Timing differences and unsettled balances are documented so missing invoices and duplicated entries are found before filing.

E-Invoice and E-Archive

The correct e-document depends on the buyer, transaction and current GIB rules. Mandatory online-sale fields, delivery information and payment methods should pass accurately from the sales system to invoicing.

Cancellation, return, price difference and partial-delivery scenarios are tested during integration. GIB Portal and private-integrator options can be compared for volume, automation, permissions and error control. Matching invoice and order references creates a useful audit trail.

VAT and other tax obligations

VAT follows the nature of the goods or services and one store may contain different treatments. Discounts, vouchers and delivery charges need transaction-specific analysis. Selling online does not by itself change the tax character of a sale.

Income or corporate tax, provisional tax, withholding, payroll and social security depend on the structure and activity. Platform and payment-provider records are reconciled with the ledger, while tax provisions are monitored in cash planning.

Returns, commissions and marketplace deductions

Customer returns and cancellations affect documents, inventory and cash. The document required for a return may depend on the customer. Receipt of goods, their resale condition and the refund should be connected in one record trail.

Commission, advertising, fulfilment, delivery, penalties and service charges are separate cost types. Every marketplace deduction should have an invoice or valid support. This allows gross margin to reflect actual channel costs rather than a headline sales figure.

Cross-border e-commerce

Goods exports, simplified exports, overseas fulfilment and digital products are not the same. Dispatch point, customs evidence, carrier data, customer location, payment and return flows can change the tax framework. A foreign platform does not automatically make a sale an export.

Foreign-currency sales, exchange differences, platform charges and overseas tax deductions are recorded separately. Where overseas stock or local registration arises, advice in the relevant country may be required alongside Turkish accounting.

Recurring filings and management reporting

A monthly close covers sales-to-invoice checks, bank and payment-provider reconciliation, stock, supplier documents, payroll and tax returns. Reports should show sales, returns, commissions, advertising, gross margin and tax provisions by channel.

As volume grows, reliable imports and exception reports should replace uncontrolled spreadsheets. Accounting that keeps pace with operations supports better pricing, campaign and inventory decisions.
